This is a part-time position with the potential to move to full-time for the Office Clerk position. The Clerk is charged with but not limited to maintaining the day-to-day billing functions, such as accounts payable, inventory receipts, scheduled processing of financial information, general office administration (e.g. answering phone calls, filing, etc), and coordinating the monthly closings with the Controller. The Clerk reports to the Controller. JOB DUTIES Include but are... not limited to: -Responsible for the data entry of all bills in a fast-paced manufacturing/trucking environment. -Correctly match bills to item receipts/purchase orders. -Answer phone calls in a friendly, professional manner, redirecting to appropriate department. -Initiate online wire transfers for certain vendor payments. -Ensure class (cost center) coding is correct for purchase orders/item receipts/bills. -Reconciles vendor statements as required. -Credit card processing/reconciliation. -Assist with the monthly close, making sure to minimize any bills missing for the period. -Make sure that we have evidence of having received the service or products invoiced. -Maintain all vendor terms current. -Manage critical vendors for payment. -Assist with the annual budget and audit processes as requested. -Assist with special projects and tasks as assigned by the Controller. -Select and recommend for payment invoices due. -Greeting customers entering office directing them to appropriate department -Ordering all office supplies -Ordering all literature -Typing pink technician copies for new installations -Scanning new equipment documents
